Customize scheduling availability for each day of the week

Overview

The new Weekly Availability section of calendar views has been added enabling users to configure more granular availability segments for each day of the week. This replaces the Meeting Days and Calendar Hours sections with a single, unified experience that displays each day of the week.

What's New?

Our scheduling suite now displays each day of the week in the Calendar View settings with availability segments under each day. You can modify, add and remove availability segments and hide specific days from your booking pages.

This means you no longer have to manually maintain time blocks on your calendar in order to prevent people from booking during times when you are normally not available.

How do I start using it?

When the feature is enabled your current availability settings will be automatically migrated to the new Weekly Availability experience so you don't have to make any changes unless you would like to define more granular availability for your booking pages.

Here's how you can change these settings:

Sidebar:

  1. Start by opening your sidebar and click the Scheduling tab.
  2. Click on My Calendars and find the calendar view you wish to update.
  3. Click the 3 dots on the right and click Edit Calendar:
    2024-09-18 12_02_11
  4. Scroll down to the Weekly Availability section and you will see the new interface.
  5. Each availability segment you see is the time frame that will be shown as available on this calendar view's booking page.
    1.  Your booking page will still respect meetings that are already booked on your calendar and show them as busy.
    2. Add as many availability segments as you wish to suit your needs. You can set your availability in 15 minute increments.

Note: Your booking page will use this for all future days in your calendar.
  6. Make sure to click Save at the bottom of the screen to apply your new availability configuration.

Dashboard:

  1. Navigate to your Calendar Views page and click the pencil icon next to the calendar view you wish to modify.
  2. Follow steps 4 through 7 above.

Removing times, disabling and enabling days:

  • When you remove all availability segments under a day, that day will automatically be unchecked and show "Unavailable". Your booking page will reflect this by showing a Busy block over the entire day.
  • If you uncheck a day, all times under that day will be removed and will display "Unavailable". The booking page will behave as described above.
  • When checking a day, an availability segment of 9AM to 5PM will be added.

This setting applies to all our scheduling products listed below:

The availability configuration will be respected when viewed through any of our scheduling features.

How do I make sure my availability is being displayed the way I want?

Once you've applied your new availability settings, visit the booking page by clicking the Copy Link button under the calendar view and pasting it into your browser.

Click into the future and review your availability to make sure it's being displayed the way you need it. If you have to make adjustments, to back to the calendar view settings, make the changes you need and save your settings. Refresh your booking page and review the updated availability.
