When it comes to scheduling demos, our goal was to increase the number of qualified leads while reducing friction. We realized that our existing workflow had too many steps—some of which were repetitive. To test a simpler approach, we experimented with a HubSpot form that only asked for an email address. While this eliminated some barriers, it led to a surge in spam and junk leads, creating a new challenge. This made us step back and rethink our entire scheduling flow.
We then asked ourselves: Why do we have a form on our website that redirects users to a separate scheduling page, requiring them to re-enter information? The answer was simple—we didn’t need to. That extra step wasn’t the path of least resistance (view our old setup below).
To solve our challenge, we modified our scheduling workflow to use our own functionality, Smart Scheduler, instead of a HubSpot form. First, we built and assigned custom attributes to users, to ensure leads would be routed to the right rep. We then added the scheduling link to our demo CTA's on our website (view our new experience here) - we also implemented UTM parameters to track where meetings are being booked from.
When someone books a meeting, our webhook collects and processes the booking information, automatically creating a Key Interaction in Salesforce. The Key Interaction is then synced to HubSpot, providing our marketing team with valuable attribution data, which we've built reports on that allow us to analyze demo performance by channel, UTM parameters, company size, and industry.
Automating data capture not only improves our visibility, but also frees up time for our account executives since they no longer need to manually create each Key Interaction record.
Since implementing our new scheduling workflow, we have achieved our highest demo month in the past six months. We've even had a handful of prospects tell us that it was so easy for them to book a meeting with us!
