We've also created entirely new email confirmation emails so hosts have more context into how the attendee was matched to them including information provided by the attendee during the booking process.

Optimizing Our Meeting Booking Process

The most effective way for us to generate meetings is by directing leads to our Smart Schedule. Based on the form criteria, the Smart Schedule automatically routes individuals to the most appropriate team member, streamlining the scheduling process.

This approach is a significant improvement over our previous method, which involved multiple steps:

  1. Filling out a form
  2. Being directed to a calendar
  3. Answering some of the same questions again
  4. Finally booking the meeting

By eliminating these extra steps, we've created a much more efficient experience.

Enhancing Visibility with UTM Tracking

With this improved scheduling process in place, our next focus was reporting and insights—specifically, understanding where our meetings are coming from. Are they driven by ads, emails, or website traffic? What pages are they specifically coming from?

To track this, we’ve incorporated UTMs into Smart Schedule. This allows us to capture the source of each booking, which helps us optimize our outreach efforts and refine our strategy for even better results.

We add UTM codes to a Smart Schedule booking URL by opening the deploy screen of a Smart Schedule and clicking the Enable Tracking toggle, filling out the fields we need and clicking Copy Link.

Example of UTM Parameters:

  • Fields we used: 
    • UTM Campaign: demo-request
    • UTM Source: website
    • UTM Content: pricing
  • This appends the following text to the end of the Smart Schedule booking URL: utm_campaign=demo-request&utm_source=website&&utm_content=pricing

    This tell us that the booking was in regards to a Demo Request, which came from our Website, and more specifically was booked from the Pricing Page. When this information is sent to our CRM, we can build reports to improve booking transparency. 

Reuse the same Smart Schedule for different purposes

This same format and process can then be replicated to the same Smart Schedule booking URL so wherever you use it, you can collect additional insights and data about the meetings that you're generating from any source. 

Where we analyze meeting data

We rely on our new webhook system to send booked, rescheduled and cancelled event details to Salesforce where we can generate all the reports we could need to better understand where leads are coming from. Since the data comes straight into Salesforce, we can track the lead journey from beginning to end.

New confirmation emails 

Here's a quick preview of the changes we've made to the email notifications sent to hosts. The new template contains more information about the meeting that was booked including the qualifying fields a booker filled out which resulted in the match to a rep.
