How to Put Your Email Signature into a Salesforce Email Template

Being able to use email templates is a major time saving boost for salespeople, or anyone that has to send the same email frequently. Simply take a few minutes in Salesforce to make the the template, and you never have to write that email again.

But that template is in Salesforce. How do you get it into your inbox where you actually work? You don’t want to be switching back and forth all the time.

That’s why Cirrus Insight allows you to pull your Salesforce templates directly into your inbox when composing an email. Problem solved!

However, there’s another (albeit smaller) issue. If you use Gmail, you have a nice Gmail signature that shares all your important information and has key links. How can you make sure your email templates have the same signature as your Gmail?

We wondered that too. Once we figured it out, we wanted to share our findings with you, so you can have your Gmail signature in your Salesforce email templates.

Here’s how:

1. Open up your Gmail settings.

2. Go down to where you can edit your signature, select all of it, and Copy it.

3. Go to richtexteditor.com/demo/edit-rtf.aspx. This is a free site that allows you to convert rich text into the kind of HTML that Salesforce requires.

4. Select everything that’s in the box and delete it. It should look like a blank page.

5. Paste your Gmail signature into the box on the web page. It will convert it to HTML.

6. Now, select everything that’s in the box and Copy that.

7. In your Salesforce email template, edit the HTML version of your message body. Paste the HTML to the end of your message. Once you’re done, you can hit “Preview” to make sure it looks correct.

8. As you can see, the email signature looks just like your Gmail one:

9. You did it! If you make another email template, you can just copy the HTML from your this email template to add that signature so that you don’t have to do these steps again.
